This role sits inside the CEO's Office at Baseball Australia, the national governing body for the sport. You'll work directly alongside the CEO, gaining first-hand exposure to the strategic and operational decisions that shape the sport nationally - from Board governance through to how the organisation works with state associations, high performance, and the broader baseball community. Working with the CEO (core function)
You'll be the CEO's closest working partner day-to-day - trusted with real responsibility rather than kept at arm's length from it.
- Manage the CEO's diary, scheduling meetings and coordinating shifting priorities.
- Arrange travel, logistics and meeting requirements.
- Prepare meeting briefs, agendas and supporting documents - with visibility into the issues behind them.
- Draft correspondence and documents on the CEO's behalf.
- Take notes in key meetings and track actions and follow-ups, including with external stakeholders.
- Help coordinate communication and engagement across internal teams, state associations and external partners.
Governance & Board Engagement
This role provides a unique opportunity to work closely with the CEO, Executive Leadership Team and Board, gaining firsthand exposure to the governance and strategic leadership of a National Sporting Organisation while playing an active role in ensuring decisions are translated into action.
- Coordinate the preparation and delivery of Board papers, agendas, meeting logistics and supporting documentation.
- Manage Board actions and decisions, ensuring clear ownership, progress tracking and timely reporting.
- Facilitate the flow of information between the Board and Executive Leadership Team, ensuring strategic priorities, decisions and updates are communicated effectively in both directions.
- Coordinate Executive Team inputs into Board reporting and support the preparation of high-quality governance documentation.
- Monitor and communicate progress against Board actions across the organisation, helping maintain accountability and organisational alignment.
- Support governance processes that ensure strategic decisions move efficiently from Board approval through Executive implementation and into operational delivery.
The role isn't confined to the CEO - it's a seat with visibility across the whole business.
- Provide administrative support across the organisation, working with all teams within the business.
- Coordinate meetings and documents that touch multiple parts of the business.
- Build a working understanding of how each part of Baseball Australia connects to the others.
- Be confident in encouraging collaboration across the connected parts of Baseball Australia.
Contribute to how the organisation runs, not just to keeping it running.
- Work with the CEO and Executive Team to identify opportunities to improve efficiency.
- Help implement tools and processes that streamline how the organisation works.
- Support the office environment at Homebush, including hosting visitors and coordinating suppliers.

- Experience in an administrative, EA or coordination role (1-3 years) - sport, member-based or not-for-profit experience highly regarded but not essential.
- Genuine interest in sport administration and how national sporting organisations operate.
- Strong organisational skills and attention to detail.
- Clear written and verbal communication skills.
- Trustworthy, discreet and comfortable with exposure to sensitive information.
- Proactive, reliable and keen to build a long-term career in the sector.
